How to use the Queries feature

The Queries feature is used to manage all requests for information, documentation, or responses from stakeholders during an engagement. Queries are automatically created when the auditor sends items such as notification letters, information requests, or other stakeholder interactions. All queries are centrally tracked, allowing auditors to monitor progress, follow up, and ensure completeness of responses.

Viewing Queries

Queries are accessible from the Queries tab in the top navigation bar.

This page displays a list of all queries created during the engagement, including their:

  • Status (e.g. Awaiting response, Reopened, Completed)
  • Progress (number of responses received)
  • Due date

Each query represents a request sent to a stakeholder and provides visibility over outstanding and completed interactions.

Selecting a query opens the underlying document where the request was created and managed.

Working with a Query

When opening a query (for example, a request for background information), the user can view and manage the interaction with the stakeholder.

The document includes:

  • Instructions to guide the stakeholder
  • The request content (e.g. notification or information request)
  • File upload functionality for responses
  • Status indicators (e.g. Returned, Awaiting response, Accepted)

The auditor can review submitted responses and determine whether they are sufficient.

Managing Query Status

Once responses have been received, the auditor can select Mark all responded” to indicate that all required information has been provided.

This updates the query status and allows the auditor to proceed with completion.

If the response is not sufficient, the auditor can Reopen the query, which sends it back to the stakeholder.

The status will update to Reopened, indicating that further input is required.

Completing a Query

When the auditor is satisfied with the responses, the query can be completed.

Upon completion:

  • The query is locked
  • No further edits or reopening is allowed

A system warning will appear before completing the query to confirm this action.

 

Important Considerations

  • Queries are automatically created when interacting with stakeholders (e.g. sending requests).
  • The Queries page provides a centralised view of all stakeholder interactions.
  • Reopening a query is the preferred approach if additional information is required.

Important Tips

  • Once a query is completed or cancelled, it is permanently locked and cannot be reopened.
  • Always review responses carefully before completing a query.
  • If additional information is required after completion, a new query must be created.
  • Use Reopen instead of completing too early to avoid unnecessary duplication.
  • The warning message should be taken seriously — it confirms finalisation of the query.
